("we," "us," "our," or the "Foundation") operates a sports registration platform (the "Platform") that enables youth sports organizations to manage events, registrations, and payments. This Privacy Policy describes how we collect, use, disclose, and protect personal information when you use our Platform at pulisicfoundation.com and related services.

Because our Platform facilitates youth sports registration, we take special care to protect the privacy of children. We comply with the Children's Online Privacy Protection Act ("COPPA") and require verifiable parental consent before collecting personal information about children under 13.

By using our Platform, you consent to the practices described in this Privacy Policy. If you do not agree with this Policy, please do not use our Platform.


2. Information We Collect

2.1 Information You Provide Directly

Parent/Guardian Information

When registering a child for an event, we collect:

  • Full name
  • Email address
  • Phone number (optional)
  • Parental consent acknowledgment, timestamp, and IP address

Participant (Child) Information

Depending on the event registration form, we may collect:

  • Standard Information: Participant name, event preferences, general inquiries
  • Personal Information: Phone numbers, mailing addresses, emergency contact details
  • Sensitive Information: Date of birth, medical conditions, allergies, and other health-related information necessary for safe program participation

The specific information collected varies by event and is disclosed on the registration form prior to submission.

Administrator and Staff Information

For organization administrators and staff who manage events through our Platform, we collect:

  • Email address
  • Name
  • Role and organizational affiliation

2.2 Information Collected Automatically

When you use our Platform, we automatically collect certain technical information:

  • IP Address: Collected for security purposes, rate limiting, fraud prevention, and to record parental consent verification
  • Device Information: Browser type, operating system, and device identifiers captured in error logs
  • Authentication Data: Login timestamps, session information, and authentication events
  • Usage Logs: Pages visited and actions taken on the Platform for security monitoring and troubleshooting

2.3 Payment Information

Payment processing is handled by our third-party payment processor, Stripe. We do not collect, store, or have access to full credit card numbers. We receive and store only:

  • Stripe payment transaction identifiers
  • Payment status (pending, completed, refunded, etc.)
  • The email address associated with payment receipts

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Send transactional emails (registration confirmations, receipts, event updates)

  • Send one-time passwords (OTPs) for authentication

3.4 To Improve Our Platform

  • Analyze usage patterns to improve functionality
  • Debug errors and resolve technical issues
  • Develop new features and services

  • Comply with applicable laws and regulations
  • Respond to lawful requests from law enforcement or government agencies

4. Children's Privacy (COPPA Compliance)

4.1 Our Commitment to Children's Privacy

Clear Contracts Inc. is committed to protecting children's privacy. Our Platform is designed to collect personal information about children only with verifiable parental consent, in compliance with the Children's Online Privacy Protection Act (COPPA).

4.2 Verifiable Parental Consent

Before we collect any personal information about a child under 13, we require the parent or legal guardian to:

  1. Provide their own contact information (name, email, and optionally phone number)
  2. Review a detailed disclosure of the information being collected and how it will be used
  3. Affirmatively consent to the collection by checking a consent acknowledgment (which cannot be pre-selected)

We record the timestamp and IP address of parental consent as part of our verification process.

4.3 Information Collected About Children

When parental consent is provided, we may collect the following categories of children's information for program registration purposes:

  • Name and age/date of birth
  • Emergency contact information
  • Medical information, allergies, and health conditions necessary for safe participation
  • Program preferences and related registration details

4.4 How Children's Information Is Used

Children's personal information is used solely to:

  • Register the child for requested programs and events
  • Communicate with parents/guardians about the child's participation
  • Ensure the child's health and safety during program activities
  • Comply with legal requirements

We do not use children's personal information for marketing purposes. We do not permit behavioral advertising based on children's information.

4.5 Disclosure of Children's Information

Children's information is shared only with:

  • The specific organization hosting the event for which the child is registered
  • Service providers who assist us in operating the Platform (as described in Section 6)
  • Law enforcement or government agencies when required by law

4.6 Parent/Guardian Rights Under COPPA

Parents and legal guardians have the right to:

  • Review the personal information we have collected about their child
  • Request deletion of their child's personal information
  • Refuse further collection or use of their child's information
  • Withdraw consent previously provided

4.7 Data Retention for Children's Information

Personal and sensitive information collected about children is retained only as long as necessary to fulfill the purposes for which it was collected. Event organizers may configure retention periods between 30 and 730 days. After the retention period expires, personal and sensitive data is automatically purged from our systems.


5. Data Security

5.1 Security Measures

We implement appropriate technical and organizational measures to protect personal information, including:

  • Encryption at Rest: Sensitive information (such as medical conditions, allergies, and dates of birth) is encrypted using AES-256-GCM encryption before storage
  • Encryption in Transit: All data transmitted between your browser and our servers is protected using TLS/SSL encryption
  • Secure Authentication: We use a passwordless one-time password (OTP) system with rate limiting and hash-protected codes
  • Access Controls: Role-based access ensures only authorized personnel can access personal information
  • Audit Logging: All access to sensitive information is logged for security monitoring and compliance
  • Automatic Data Purging: Personal and sensitive data is automatically deleted after the configured retention period

5.2 Sensitive Data Protection

Information designated as "sensitive" (such as medical conditions) receives additional protection:

  • Encrypted at rest using industry-standard encryption
  • Access requires explicit action and is logged
  • Subject to automatic purging after the retention period

5.3 Limitations

While we use reasonable measures to protect personal information, no method of transmission over the Internet or electronic storage is completely secure. We cannot guarantee absolute security.


6. Third-Party Service Providers

We share personal information with third-party service providers who assist us in operating our Platform. These providers are contractually obligated to use personal information only for the services they provide to us and to maintain appropriate security measures.

6.1 Payment Processing

Stripe, Inc.

We use Stripe to process payments. When you make a payment, your payment information is transmitted directly to Stripe. We receive only transaction identifiers and payment status. Stripe's privacy policy is available at: https://stripe.com/privacy

6.2 Email Communications

SendGrid (Twilio Inc.)

We use SendGrid to send transactional emails, including registration confirmations, authentication codes, and event updates. SendGrid receives recipient email addresses and message content. SendGrid's privacy policy is available at: https://www.twilio.com/legal/privacy

6.3 File Storage

Cloudflare R2

We use Cloudflare R2 to store uploaded files such as organization logos and images. These files do not contain personal information about registrants. Cloudflare's privacy policy is available at: https://www.cloudflare.com/privacypolicy/

6.4 Error Monitoring

Sentry

We use Sentry to monitor and diagnose technical errors on our Platform. Error reports may include technical information such as IP addresses, browser type, and error context. Sentry's privacy policy is available at: https://sentry.io/privacy/

6.5 Database Hosting

Neon

Our database is hosted on Neon's serverless PostgreSQL platform with encrypted connections. Neon's privacy policy is available at: https://neon.tech/privacy-policy


7. Data Retention

7.1 Retention Periods

We retain personal information only as long as necessary for the purposes described in this Policy:

7.2 Automatic Data Purging

After the applicable retention period, personal and sensitive data is automatically purged from our systems. Purged records retain only:

  • The registration ID (for reference)
  • The date of purging
  • Non-personal statistical data

Parents may request earlier deletion by contacting us.


8. Cookies and Tracking Technologies

8.1 Cookies We Use

We use only essential cookies necessary to operate our Platform:

We do not use:

  • Cookies for behavioral advertising or profiling

8.3 Your Cookie Choices

Because we use only essential authentication cookies, there is no option to disable them while using the Platform. If you do not accept cookies, you will not be able to log in or complete registrations.


9. Your Rights and Choices

9.1 Access and Correction

You have the right to:

  • Request access to the personal information we hold about you or your child
  • Request correction of inaccurate information
  • Receive a copy of your data in a portable format

9.2 Deletion

You may request deletion of your personal information or your child's personal information. Certain information may be retained if required for:

  • Completing a transaction you requested

  • Audit log requirements

10. Data Sharing and Disclosure

10.1 We Do Not Sell Personal Information

Clear Contracts Inc. does not sell, rent, or trade personal information to third parties for their marketing purposes.

10.2 When We Share Information

We disclose personal information only in the following circumstances:

  • With Event Organizers: Participant information is shared with the organization hosting the event for program administration
  • With Service Providers: As described in Section 6, for operating our Platform
  • For Legal Compliance: When required by law, subpoena, court order, or government request
  • For Safety: To protect the safety of any person or to address fraud, security, or technical issues
  • Business Transfers: In connection with a merger, acquisition, or sale of assets, with notice to affected users

Our Platform may contain links to third-party websites or services. This Privacy Policy does not apply to those third-party sites. We encourage you to review the privacy policies of any third-party sites you visit.


12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes:

  • We will update the "Effective Date" at the top of this Policy
  • For significant changes affecting children's information, we will provide notice and, where required, obtain new parental consent

14. Additional Disclosures

14.1 Do Not Track Signals

Our Platform does not respond to "Do Not Track" browser signals because we do not engage in cross-site tracking.

14.2 International Users

Our Platform is operated in the United States. If you access the Platform from outside the United States, your information will be transferred to and processed in the United States. By using the Platform, you consent to this transfer.

14.3 Florida Residents

Clear Contracts Inc. is headquartered in Florida. Florida does not currently have a comprehensive consumer privacy law comparable to the California Consumer Privacy Act. However, we extend the rights described in Section 9 to all users regardless of location.
